*To be eligible for a student rate registration, you must be a full-time student and not currently employed, full or part-time, in the meetings or hospitality industry.  Additionally, you must not be receiving payments of any kind for meeting planning services.

2023 NEC Cancellation Policies

Attendee Transfers, Refunds and Cancellations

After registering, if you cannot attend the conference, you may transfer your registration to another attendee from your organization in the same registration category (such as a government planner, contract planner or supplier). All transfer requests must be in writing and sent to membership@sgmp.org no later than Friday, June 2, 2023. Or, you may request a refund based on refund deadlines below. All cancellations must be in writing and sent to membership@sgmp.org. Cancellations and substitutions will not be accepted over the phone.

  • Registrations canceled before Thursday, March 30, 2023, will receive a full refund less a $30 handling fee, within 45 days after the conference.
  • Registrations canceled from March 31 – April 14, 2023, will be refunded 50% of the registration fee, within 45 days after the conference.
  • Registrations canceled after Friday, April 14, 2022, will not be eligible for a refund unless it is in accordance with the Emergency Policy below.

No membership fees will be refunded. No-shows for the event will not receive a refund or credit towards future event(s).

Emergency Policy

Refunds to those who registered and paid for the 2023 NEC may be granted if an attendee is unable to attend the conference due to an immediate family member death, illness or other extraordinary circumstance. In such a circumstance, SGMP headquarters must be contacted by letter or email to membership@sgmp.org. Refunds will still be subject to the $30 handling fee and the membership fee will be retained. A request does not guarantee the refund will be approved. The final decision on refund rests with the SGMP National Board of Directors’ designee.

SGMP’s Event Cancellation Policy

The Society of Government Meeting Professionals reserves the right to cancel this event due to low enrollment or other circumstances which would make the event non-viable. If SGMP cancels an event, registrants will be offered a full refund. Should circumstances arise that result in the postponement of an event, SGMP has the right to either issue a full refund or transfer registration to the same event at the new, future date. SGMP will not be responsible for reimbursement of any participant’s expenses due to the cancellation or postponement of an event.

2023 Hotel’s Cancellation Policy

The hotel’s check-in time is after 3 pm CT, and the check-out time is by 12 pm CT. Guests checking in before 3 pm will be charged an early check-in fee. Guests arriving prior to check-in time will be accommodated as rooms become available. Failure to cancel a guaranteed reservation by 3 pm CT on the day prior to arrival will result in a forfeiture of the room’s deposit. A charge of one night’s Room Rental rate and tax will be applied to the guaranteed method of payment. Additionally, an early departure fee, equal to one night’s room and tax applies to guests checking out prior to their departure date as confirmed at check-in. Regardless of whether a cancelled room deposit is refundable, this shall have no bearing upon SGMP’s total liability pursuant to either the Attrition or Cancellation Clauses herein.
