NOTE – Hybrid 2021 NEC Could Change to Virtual-Only NEC

The health and safety of our attendees is our highest priority. Another priority is the financial health and continued success of SGMP. Therefore, should SGMP determine either of these priorities may be in jeopardy, SGMP may decide to change the hybrid 2021 NEC to a virtual-only NEC.

Should that happen, those who registered and paid the in-person registration rate will automatically be transferred to the virtual registration, and the difference in registration rates will be refunded to those registrants within 45 days after the NEC concludes.

Attendee Transfers, Refunds and Cancellations

2021 Conference: Moving from May 18-20, 2021 to September 21-23, 2021

On Wednesday, March 24, 2021, it was announced by the SGMP National Board that the 2021 NEC would be moved from May 18-20, 2021, to September 21-23, 2021. For those who were already registered in the system by March 24, 2021, and are still planning to attend on those new dates, there is no action needed from you – staff will make sure your registration remains valid for the new dates.

However, if you find you cannot attend due to the date change, please email membership@sgmp.org and request a refund by June 30, 2021, for a full refund. After June 30, 2021, the regular cancellation policies will be in effect for your registration/registration fee.

In-Person Registrants:
After registering, if you cannot attend the conference, you may transfer your registration to another attendee from your organization in the same registration category (such as government planner, contract planner or supplier). All transfer requests must be in writing and sent to membership@sgmp.org no later than Friday, September 17, 2021. Or, you may request a refund based on refund deadlines below. All cancellations must be in writing and sent to membership@sgmp.org.

  • Registrations cancelled before Monday, July 12, 2021, will receive a full refund less a $30 handling fee, within 45 days after the conference.
  • Registrations cancelled from July 13 – July 30, 2021, will be refunded 50% of the registration fee.
  • Registrations cancelled after Friday, July 30, 2021, will not be eligible for a refund unless it is in accordance with the Emergency Policy below.

No membership fees will be refunded. No-shows for the event will not receive a refund or credit towards future event(s).

Virtual Registrants:

Refunds will not be given for this event. However, you can expect to receive online access to the recorded sessions for 90 days.

You may transfer your registration to another attendee within your organization who fits the same category of registration type. All transfer requests must be in writing and sent to membership@sgmp.org. If you transfer your registration to another person, you will not have access to the recorded sessions.

No-shows for the event will not receive a refund or credit towards future event(s), however, paid registrants will receive online access to the recorded sessions for 90 days.

In-Person CGMP Course & Exam – Huntsville, AL

Should the hybrid 2021 NEC be changed to a virtual-only 2021 NEC, the in-person CGMP Course & Exam will not be held. Those who registered for the in-person course will be offered an alternative virtual course or another in-person course, but must use their registration fee no later than September 30, 2022. Failure to take the course & exam within that period will forfeit their registration fee.

Emergency Policy

Refunds to those who registered and paid for in-person attendance may be granted if an attendee is unable to attend the conference due to a family death, illness or other extraordinary circumstance. In such a circumstance, SGMP headquarters must be contacted by letter or email. Refunds will still be subject to the $30 handling fee and membership fee will be retained. A request does not guarantee the refund will be approved. The final decision on refund rests with the SGMP National Board of Directors’ designee.

Roll-Over Registrations from 2020 NEC

March 24, 2021 Update – Registrants who chose to roll-over their 2020 NEC registration fee to the 2021 NEC should have received an email with a code to cover this year’s registration fees – whether you choose to attend in-person or virtually. Within 45 days after the NEC, should there be any remaining funds from your 2020 NEC registration, those funds will be refunded to whoever paid the 2020 NEC registration fees.

Should you choose not to attend the 2021 NEC at all, please send a request for a refund to membership@sgmp.org by June 30, 2021. A full refund will be processed within 45 days after the 2021 NEC. If you do not request a refund by June 30, 2021, you will not be eligible for a refund.

SGMP’s Event Cancellation Policy

The Society of Government Meeting Professionals reserves the right to cancel this event due to low enrollment or other circumstances which would make the event non-viable. If SGMP cancels an event, registrants will be offered a full refund. Should circumstances arise that result in the postponement of an event, SGMP has the right to either issue a full refund or transfer registration to the same event at the new, future date. SGMP will not be responsible for reimbursement of any participant’s expenses due to the cancellation or postponement of an event.
